It is an accepted fact that corporate e-mail includes business records or in certain circumstances, controlled records. CR’s are usually records with privileged information such as social insurance numbers, loan numbers, credit card numbers etc.. An e-mail retention policy informs employees what e-mail needs to be archived and for how long.

As much as 75 per cent of a company’s intellectual property is housed within its messaging system. And a recent study by Osterman Research found that the majority of us don’t want to reinvent the wheel every time we’re working on a new message – more than 90 per cent of e-mail users refer to old e-mail when composing new e-mail. An archive offers a company access to a rich repository of corporate knowledge through an easy-to-use search interface.

Your policy for how e-mail and IM will be used and retained by your company should be developed with input from across the organization. Policy Management Challenges:

As your company embarks on creating policies the following guidelines should be considered when setting guidelines.

--DO create two policies: One for retention of e-mails and IMs, and another for company-wide usage of e-mail and IM. These will be separate policies, but it’s important that they’re developed side by side. Both should be reviewed and updated annually.

--DO communicate your usage policy with all employees, not just through e-mail, but through face-to-face training and discussion in department meetings. Be specific and detailed. It’s important that everyone in the company understand both appropriate and inappropriate use of e-mail and IM, and that violating usage guidelines is a punishable offence. Employees should also know that copies of everything they send are being archived (this knowledge alone often results in fewer instances of inappropriate messaging).

--DON’T delay archiving in the absence of a retention policy. Ideally, the policy comes first and dictates the parameters of the archive’s setup. But for many companies, a policy can take months to develop and gain consensus on – and most aren’t willing to risk a damaging non-compliance situation or costly e-discovery process in the meantime. Q. How does Jatheon’s Plug-n-Comply™ solution search and retrieve e-mails?

A. The appliance indexes and archives the data as if it was a dictionary.  When a search is performed, the data is searched against the dictionary or index file based on your search query.  Only when the e-mail is clicked on, the appliance then retrieves the e-mail in an uncompressed format. This type of indexing allows for e-mails to be searched in a very quick and efficient manner.

Jatheon’s technology allows on average for a 10 to 1 compression ratio on all data stored on the appliance.

Q. How long does the implementation take for Jatheon’s Plug-n-Comply™ solution?

A. It takes only a few hours and not days. This is because the appliance is non- intrusive to the network layer. Our appliance requires minimal training and is simple to deploy, manage and operate.

Q. Is it possible to delete messages from Jatheon’s Plug-n-Comply™?

A. No. All messages are stored in the appliance until the pre-determined expunge date. This date is decided by the champion of the e-mail archiving initiative.

Q. Is there any hardware or software required for Jatheon’s Plug-n-Comply™?

A. No. The appliance is a turn-key solution that comes equipped with all the hardware and software for e-mail archiving.

Q. What e-mail platforms does Jatheon’s Plug-n-Comply™ support?

Q. Is it possible to upload an existing archive?

Q. Does a full audit trail exist?

Q. Does Jatheon’s Plug n Comply™ archive Instant Messaging and Bloomberg Mail?

A. Yes, we archive specific types of IM (Yahoo, MSN, AIM, ICQ, etc) and Bloomberg Mail.

Q. Does Jatheon’s Plug n Comply™ solution impact the performance of the existing e-mail server?

A. No. Because the appliance is non-intrusive, it has no impact on the performance of your e-mail server.

Q. Data Migration: ...can the product automatically migrate data between tiers or systems? If so, briefly describe.

Yes – The PnC products support data migration. Migration and ingestion of existing customer data is done by the appliance from files in either a pst or eml format. Using the optional Jatheon pst crawler, searches for local pst files are done and they are actively imported and ingested into the appliance for archiving and searching.

The Jatheon suite of products are integral in the e-mail platform migration process. Clients wishing to move from one e-mail platform to another, ie. Novell Groupwise to Exchange 2007, are usually concerned of their data being lost or compromised during the migration process. By including Jatheon’s solution in their platform migration strategy, the client can go through this process with ease and comfort, knowing that all the e-mail has been archived on the Jatheon appliance.

Policy Management – How it works:

Managing the day to day policies that pertain to e-mail is a big task, one that if manually performed will consume precious resources; Jatheon’s Plug-n-Comply™ appliances have the ability to review messages in real-time for user created rules.

Policies can be applied to all messages received by the archive or just to a random percentage. The Compliance Officer has the ability to also create a severity level for each defined policy. The system will calculate a ‘risk’ factor based on the total number of messages and the policies violated combined with the severity factor. This is displayed to the Compliance Officer in the system overview.
